Account information: Your email address and password (encrypted). If you sign in with Google, your Google email and profile name.
Student profiles: De-identified student information you enter, including name, grade, cognitive profile, and teacher notes.
IEP goals and progress data: Goals, benchmark notes, progress entries, and generated artifacts you create.
Uploaded documents: Files you upload for analysis (e.g., IEP documents). You are responsible for redacting PII before upload.
Usage data: App settings, preferences, and interaction logs used to provide and improve the service.
Your data is stored on secure cloud infrastructure provided by Base44, our platform-as-a-service provider. All data is encrypted in transit (TLS) and at rest.
Uploaded files are stored in isolated, access-controlled storage and are only retrievable by your account.
You: Only you can view, edit, or delete your students, goals, and progress data.
EmberKeep LLC & Base44: Authorized personnel may access data only to provide support, maintain the service, or comply with legal obligations.
Third parties: We do not sell, rent, or share your data with advertisers or third-party marketers.
Beacon uses AI models (e.g., Google Gemini, OpenAI, Anthropic Claude) to generate goal explanations, task analyses, rubrics, and other artifacts. When you use AI features, the following applies:
What is sent: Goal text, student profile details, and uploaded documents are sent to the AI provider to generate your requested content.
PII responsibility: You are responsible for redacting all personally identifiable information (PII) from documents before uploading them. Beacon provides a Redaction Manual to guide this process.
Provider retention: AI providers may temporarily process data to generate responses. We use providers whose terms limit retention, but we cannot guarantee zero retention on their end.
No training: We do not knowingly authorize AI providers to use your data for model training.
You can delete your data at any time:
Individual records: Delete students, goals, or progress entries directly within the app at any time.
Full account deletion: To request complete deletion of your account and all associated data, contact EmberKeep LLC support through the app's support channel. We will process your request within 30 days and confirm completion.
Partial deletion: You may request deletion of specific data sets (e.g., all uploaded documents) without deleting your entire account.
By using Beacon, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with this policy, you should not use the application.
